Team and roles

SettingsMembers lists everyone in the workspace and every invitation still waiting.

Who can do this

  • Owner
  • Admin

Only an owner can manage another owner or transfer ownership.

Invite someone

  1. Select Invite Member.

  2. Enter their email address.

  3. Choose Agent or Admin. Owner is not offered here; ownership moves through Transfer ownership.

  4. Select Send Invite.

They receive an email with a join link. Until they accept, the invitation sits under Pending Invitations showing who invited them. Select the × on the row to cancel it.

What that means in practice:

  • Agents get the inbox, contacts, campaigns, templates, automations and analytics. In Settings they see only General (read-only) and Notifications. They cannot change contacts, tags definitions or workspace details.
  • Admins add the workspace settings: the WhatsApp connection and phone numbers, members, integrations, and custom contact fields.
  • Owners add billing and the ability to transfer ownership.

Change someone's role

On their row, open Change role, pick the new role, select Save.

You can only grant roles at or below your own level. An admin therefore never sees Owner in the list. That is deliberate: ownership only moves through the dedicated flow below.

Transfer ownership

Owners only, and not on your own row.

Transfer ownership. A checkbox controls what happens to you:

  • Step down to Admin ticked (the default): they become owner, you become an admin and lose owner privileges, including billing.
  • Unticked: you both stay owners.

Remove someone

Remove member, then confirm. Access is revoked immediately.

Their conversations, notes and messages stay in the workspace. Reassign anything that was assigned to them from the conversation's Assigned control in the inbox.

You cannot remove yourself from your own row, and an admin cannot remove an owner.

Agent seats

Every member, including the owner, uses one seat. SettingsBilling shows "X of Y agent seats used".

When you are at the cap, new invitations are refused. Your options:

  • Remove someone who no longer needs access.
  • Move to a plan with more included seats.
  • On plans that sell extra seats, add seats from SettingsBilling. Adding is charged immediately, prorated for the rest of the current cycle; removing takes effect at the next renewal, with no refund.

Note for downgrades: if the lower plan does not fit your current team, the downgrade is refused until you remove the extra members. The error tells you how many.
